On-the-Job Training: The Administrative Assistant II will receive comprehensive training from experienced staff providing guidance through the department’s systems, including registration processes, financial procedures, & the use of software like Civic Rec. Hands-on experience will be acquired in managing records, preparing reports, & coordinating events. Dedicated staff will provide personalized instruction on department-specific tasks, ensuring that all the tools are available to succeed in this role.
Duties:
·Performs a wide variety of clerical, secretarial, receptionist & administrative duties for the Parks & Recreation Department.
·Enters data, prepares reports, maintains records & files, types correspondence, & copies documents; compiles & coordinates reports & data; creates spreadsheets & performs moderate analysis of data; assists with calendars & schedules; creates minutes for designated committees & boards; creates seasonal publications; assists with special event planning & coordination.
·Assists in keeping financial, personnel & operational records; monitors budget and/or expenditures; assists with purchasing & accounts payable processes; assists with deposits, account reconciliation, & other financial processes.
·Registers patrons in programs, handles reservations, & collects fees; maintains petty cash.
·Answers phones, greets & provides customer service for walk-ins.
·Collaborates with external agency & organization representatives.
Education:
·High school diploma or G.E.D.
·Courses in typing, bookkeeping, computer & other clerical functions.
Experience:
·Two (2) years of progressively responsible clerical work.
·Must have strong customer services skills.
·Strong computer experience in Microsoft Word, Excel, PowerPoint, Access, Publisher, Outlook desirable, Civic Rec knowledge preferred.
·Type accurately at or above 40 words per minute.
Requirements: Must possess a valid Kansas driver’s license.
Work Type:
·Light, exerting up to 20 lbs. of force occasionally, and/or up to 10 lbs. of force frequently, and/or a negligible amount of force constantly to move objects.
·Sits about 75 percent of the time.
Machines, Tools, Equipment: Adding machine, calculator, copy machine, fax machine, high-speed duplicating machine, personal computer, scanner, telephone, & typewriter.
Hours: Monday – Friday, 10:00 a.m. – 3:00 p.m., 25 hours/week.
Starting pay: $17.21—18.07/hr. DOQ
·Additional $1.50/hour paid for hours worked after 6:00 p.m. & before 6:00 a.m.
Part-Time Paid Time Off:
•24 hours of vacation available upon hire; additional 48 hours earned during the year (48 hours in first year).
•48 hours of sick leave during first year.
Benefits: Part-time position is eligible for certain employee benefits.
